Job Summary
The Account Coordinator is the entry-level Account Services department position at VitaminMD for someone who supports the management and execution of medical communications projects, working closely with account managers, medical writers, and cross-functional teams. This role coordinates day-to-day project tasks, maintains timelines, and ensures clear communication between internal teams and clients. Job Summary

The Account Coordinator assists in preparing materials, tracking project progress, and ensuring the timely delivery of high-quality content across various medical communication channels. This position is ideal for a detail-oriented and organized individual eager to gain experience in client management and medical communications within the pharmaceutical and healthcare industries.
Key Job Responsibilities (Duties may include, but are not limited to all or some of the following)
- Works independently to support supervisors in the development of presentations to clients on projects in development
- Takes ownership of the project brief from draft development through client approval and leads project kickoffs with the internal team.
- Owns some projects on the team (such as a print project or banner) and actively learns to take on more significant projects (for example, an IVA or website)
- Supports upper-level account service managers in the implementation of larger workstreams and strategic initiatives
- Serves as the liaison between the client and the internal/external stakeholders to ensure the client’s needs and goals are being met while maintaining clear, effective communication
- Supports tracking of assigned project budgets regularly and works with supervisors to develop monthly client reconciliation
- Develops deeper relationships with clients while attending client meetings, including Medical/Legal/Regulatory reviews
- Owns the PRC process, including tracking, submissions, and communicating comments back to the internal team while developing a solid relationship with the review committee
- Continuously works to expand market knowledge and stay current with respect to advertising opportunities among various platforms, especially those valuable to assigned brands.
- Stays current on emerging market trends and applies them to brand planning and execution
- Trains on the creative brief, brand story, and brand strategies
- Demonstrates a solid understanding of product, scientific data, strategies, and marketplace
Job Qualifications (Skills/Requirements)
- Bachelor's degree required
- 6 months to 1 year of experience in the advertising industry
- At least 6 months of Account Coordinator experience in an agency setting is required
- Basic understanding of the development of the project brief and internal workflow process
- Ability to draft all meeting notes to the team on client decisions and updates in a timely and succinct manner
- Ability to track budgets regularly and work with supervisors to provide monthly forecasts
- Can mindfully manage deadlines, multiple tasks, and challenges
- Collaborative and seeks to solve problems
- Strong professional presence—possesses positive, inspirational qualities that motivate internal team and evoke ease and confidence in clients
- Ability to travel (locally and nationally) up to 25% of the time
- Willingness to go beyond what is described in the job description and be flexible for the team, and ultimately, the work
